Booking Policy

This Booking Policy explains the terms for booking photo booth services with Gleam Booth (“Gleam Booth,” “UpBrannd,” “we,” “us,” or “our”). By booking our services, submitting a payment, signing an agreement, or allowing us to provide services at your event, you (“Client”) agree to the terms below.
1. Services
Gleam Booth provides photo booth services for weddings, birthdays, mitzvahs, corporate events, brand activations, private parties, and other events.
Services may include, depending on the selected package:
Photo booth rental
Booth attendant
Digital photo delivery
Text or email sharing
Prints
Custom overlays
Backdrops
Props or custom prop signs
AI photo booth features
GIFs, boomerangs, or video features
Other add-ons listed in the selected package
The services included are based on the package and add-ons selected at the time of booking.
2. Retainer / Deposit
A 50% retainer is required to reserve the event date and time.
The event date is not confirmed until the retainer has been paid and accepted by Gleam Booth.
The retainer is applied toward the total balance of the booking. Because Gleam Booth reserves the date, schedules staff, prepares equipment, and may turn away other bookings for the same date, the retainer is non-refundable, except where otherwise required by law or agreed in writing by Gleam Booth.
3. Payment Schedule
The remaining balance is due 14 days before the event.
If the booking is made less than 14 days before the event date, the full balance may be due at the time of booking unless otherwise agreed in writing by Gleam Booth.
If the remaining balance is not paid on time, Gleam Booth may pause preparation, withhold services, or cancel the booking.
Payments may be made by the approved payment methods provided by Gleam Booth, which may include online invoice, card payment, bank transfer, cash, check, or other approved methods.
Returned payments, failed payments, chargebacks, or late payments may result in additional fees and/or cancellation of services.
4. Package Details and Add-Ons
The Client is responsible for reviewing the selected package, event details, service hours, location, add-ons, and any special requests before the event.
Once services are booked, package items cannot be removed or deducted from the total unless approved in writing by Gleam Booth.
Additional services, upgrades, extra hours, custom design work, rush requests, or special items may be added if available and will be billed separately.
5. Event Details
The Client must provide accurate event information, including:
Event date
Event location
Event start and end time
Photo booth service time
Venue contact information if needed
Parking/loading instructions
Setup location
Any venue restrictions
Package selection
Add-ons or custom requests
Gleam Booth is not responsible for service delays, reduced service time, or inability to perform caused by incorrect, incomplete, or late event information.
6. Setup, Access, and Space Requirements
The Client is responsible for making sure Gleam Booth has safe and timely access to the venue and setup area.
The Client must provide:
Reasonable time for setup and breakdown
Safe access to the setup location
Parking or loading access
Elevator access if needed
A stable and level setup area
Adequate space for the selected booth setup
Any required venue approvals or permissions
If Gleam Booth is delayed, restricted, denied access, or unable to set up because of venue rules, lack of access, parking issues, security restrictions, incorrect information, or other conditions outside our control, the Client remains responsible for the full booking amount.
Lost service time caused by access issues, venue delays, guest interference, event schedule delays, or Client-related delays will not result in a refund.
7. Power, Wi-Fi, and Technical Conditions
Gleam Booth may provide battery-powered options depending on the selected setup, but some services may still require power, internet, Wi-Fi, or stable cellular service.
Live text sharing, email sharing, instant downloads, digital uploads, AI processing, galleries, and similar digital features may depend on internet connection, Wi-Fi access, cellular signal, platform availability, guest device settings, and other technical conditions.
When stable internet or Wi-Fi is available during the event, guests may receive text, email, or digital sharing links during the event or shortly after using the booth. However, live or same-day text delivery is not guaranteed.
If internet, Wi-Fi, or cellular service is limited or unavailable at the venue, guest text delivery, uploads, sharing links, galleries, downloads, or AI processing may be delayed until after the event when Gleam Booth is able to reconnect and upload or process the files.
Gleam Booth will make reasonable efforts to continue service and deliver media as quickly as possible, but we are not responsible for delays or technical issues caused by poor internet, unavailable Wi-Fi, venue restrictions, power failure, network outages, platform limitations, or other conditions outside our control.
8. Overtime and Extra Hours
Any request to extend service time is subject to availability and approval by Gleam Booth.
Additional time may be billed at the overtime rate provided by Gleam Booth. Overtime must be approved and paid before or at the time of the extension unless otherwise agreed in writing.
9. Cancellation by Client
If the Client cancels the event or cancels photo booth services, the retainer is non-refundable because the date was reserved and other booking opportunities may have been declined.
If cancellation occurs after the final balance has been paid, any refund or credit will be determined by Gleam Booth based on the timing of cancellation, work already completed, custom items prepared, and costs already incurred.
Custom items, custom designs, printed materials, special orders, and completed preparation work are not refundable.
10. Postponement and Rescheduling
If the event is postponed, the Client must notify Gleam Booth as soon as possible.
Gleam Booth may allow the booking to be transferred to a new date if:
The new date is available
The new location is within the service area or approved travel range
The new date is scheduled within a reasonable timeframe
Any additional costs, travel fees, or service changes are paid
If the new date is not available, the booking may be treated as a cancellation.
Gleam Booth may pause preparation until the new date is confirmed. Additional payments may be required before services resume.
11. Cancellation by Gleam Booth
Gleam Booth reserves the right to cancel services if necessary due to emergency, illness, unsafe conditions, equipment failure, venue access issues, non-payment, misrepresentation, or circumstances outside our control.
If Gleam Booth cancels and cannot provide a qualified replacement or reasonable alternative, the Client may receive a refund of payments made for services not provided.
Gleam Booth is not responsible for indirect, consequential, emotional, reputational, or special damages.
12. Force Majeure
Gleam Booth is not responsible for failure or delay caused by circumstances outside our reasonable control, including but not limited to:
Acts of God
Natural disasters
Severe weather
Fire, flood, earthquake, or emergency
Government restrictions
Venue closure
Labor disruptions
Power or internet outages
Road closures or transportation issues
Accidents
Illness
Family emergency
Public health emergencies
Unsafe working conditions
If such an event occurs, Gleam Booth will make reasonable efforts to reschedule, provide a replacement, or offer an alternative solution where possible.
13. Client Responsibilities
The Client is responsible for:
Providing accurate event details
Making sure the venue allows the photo booth setup
Providing safe access for setup and breakdown
Informing Gleam Booth of venue restrictions
Making sure guests use the booth, props, backdrops, signs, and equipment respectfully
Paying all amounts due on time
Providing any logos, artwork, names, spelling, dates, or design details needed for custom work
Reviewing and approving custom designs when required
Gleam Booth is not responsible for errors caused by incorrect spelling, incorrect dates, wrong logos, late approvals, or incomplete information provided by the Client.
14. Custom Designs and Approvals
Custom overlays, custom backdrops, custom prop signs, AI styles, branded designs, logos, and other custom items may require Client approval.
The Client is responsible for reviewing spelling, names, dates, colors, logos, and design details before approval.
Once a custom design is approved, changes may not be possible or may require an additional fee.
Rush design requests, late changes, or reprints may result in additional charges.
15. Damage or Loss of Equipment, Props, Backdrops, or Accessories
The Client agrees to take reasonable care of all Gleam Booth equipment, props, signs, backdrops, accessories, printed materials, and other property.
The Client is responsible for loss, theft, or damage caused by the Client, guests, venue staff, vendors, or event attendees.
This may include damage or loss to:
Photo booth equipment
Cameras
Lighting
Printers
Backdrops
Stands
Props
Custom prop signs
Cables
Batteries
Cases
Tablets
Other booth accessories
The Client may be charged the actual repair cost, cleaning cost, replacement cost, or full replacement value for missing, stolen, or damaged items.
16. Safe Working Environment and Appropriate Conduct
The Client agrees to provide Gleam Booth staff with a safe and appropriate working environment.
Gleam Booth reserves the right to pause service, stop service, or leave the event if staff or equipment are exposed to unsafe, abusive, threatening, intoxicated, aggressive, harassing, or inappropriate behavior.
If possible, Gleam Booth will notify the Client or a responsible event contact and allow a reasonable opportunity to correct the issue.
If the unsafe or inappropriate behavior continues, Gleam Booth may end services early. If services end early due to unsafe conditions, guest misconduct, venue issues, or Client-related conduct, the Client remains responsible for payment in full and no refund will be issued.
17. Exclusivity
The Client agrees that Gleam Booth is the selected provider for the photo booth services described in the booking.
No other vendor, guest, or third party may interfere with Gleam Booth’s setup, equipment, operation, photo delivery, printing, or guest experience.
This does not prevent photographers, videographers, planners, or other vendors from performing their own separate services, as long as they do not interfere with Gleam Booth’s services.
18. Event Content, Photo, and Video Usage
Photos, videos, GIFs, boomerangs, AI images, prints, digital galleries, and other media may be created during the event as part of the services.
Gleam Booth may use selected event content for reasonable business and promotional purposes, including:
Website portfolio
Social media
Advertising
Marketing materials
Service examples
Internal training
Quality control
Promotional showcases
If the Client does not want event content used publicly for marketing or portfolio purposes, the Client must notify Gleam Booth in writing before the event or at the time of booking.
The Client may also contact Gleam Booth after the event to request that specific public content be removed from marketing materials. Gleam Booth will make reasonable efforts to honor removal requests.
19. Copyright and Ownership
Gleam Booth retains ownership of copyrights and intellectual property rights in media, designs, templates, layouts, overlays, custom designs, AI prompts, branding layouts, and other creative works created by Gleam Booth, unless otherwise agreed in writing.
The Client receives a personal, non-exclusive license to use the delivered event photos, videos, GIFs, prints, or digital files for personal use, event sharing, and normal social media sharing.
Commercial use, resale, editing for commercial advertising, or transfer of ownership is not allowed unless approved in writing by Gleam Booth.
For corporate or brand activation clients, usage rights may be expanded in a written agreement or invoice.
20. Permitted Client Use
The Client may use delivered event content for personal and event-related purposes, including:
Personal social media posts
Sharing with guests
Personal albums or scrapbooks
Family or event communications
Internal company sharing
Event recap use, if applicable
The Client may not sell, license, claim ownership of, or use Gleam Booth-created materials in a misleading, harmful, unlawful, or unauthorized commercial way without written permission.
21. Model Releases and Guest Participation
The Client is responsible for informing guests that a photo booth is present and that photos, videos, GIFs, AI images, or other media may be created.
Guests who choose to use the booth understand that their image may be captured as part of the service.
If the Client has privacy restrictions, minor-related restrictions, corporate confidentiality rules, or guest media restrictions, the Client must inform Gleam Booth in writing before the event.
22. AI Photo Booth Features
If AI photo booth services are included, the Client understands that AI-generated or AI-enhanced images may vary in style, quality, timing, accuracy, and final appearance.
AI results may depend on guest photos, lighting, internet connection, system performance, selected style, and other technical factors.
Gleam Booth will make reasonable efforts to provide a quality experience but does not guarantee that every AI image will be perfect, identical, or suitable for every guest.
23. Digital Galleries and Delivery
Digital photos, videos, GIFs, AI images, galleries, downloads, text delivery, or other event media may be delivered during or after the event depending on the selected package, event size, internet connection, cellular service, Wi-Fi access, system performance, and technical conditions.
When internet or Wi-Fi access is available and stable during the event, guests may receive text, email, or digital sharing links during the event or shortly after using the booth. However, same-day live delivery is not guaranteed.
If internet, Wi-Fi, or cellular service is limited or unavailable at the venue, guest text delivery, uploads, sharing links, galleries, or downloads may be delayed until after the event when Gleam Booth is able to reconnect and upload the files.
Unless otherwise stated in writing, final digital delivery is typically provided by the next business day after the event. In some cases, delivery may take up to 2 business days depending on file size, number of guests, upload time, AI processing, gallery preparation, technical issues, or platform limitations.
Gleam Booth will make reasonable efforts to deliver event media as quickly as possible, but the Client understands that digital delivery and guest text delivery may occur after the event.
24. Limitation of Liability
Gleam Booth’s liability is limited to the amount paid by the Client for the specific services at issue.
Gleam Booth is not liable for indirect, incidental, special, emotional, reputational, punitive, or consequential damages, including lost profits, lost business opportunities, event disappointment, guest complaints, or issues caused by third parties.
25. Indemnification
The Client agrees to hold Gleam Booth harmless from claims, damages, losses, costs, or expenses arising from:
Guest misconduct
Unsafe event conditions
Venue restrictions
Client-provided materials, logos, or artwork
Copyright or trademark issues involving Client-provided materials
Guest injuries not caused by Gleam Booth
Damage caused by guests, vendors, venue staff, or event attendees
Client’s breach of this Booking Policy
26. Travel, Parking, and Venue Fees
Additional fees may apply for travel, parking, valet, loading dock access, permits, venue fees, tolls, or difficult access locations.
The Client is responsible for any parking, valet, permit, vendor access, or venue-required fees unless otherwise agreed in writing.
If parking or loading access is not available and this causes delay or added cost, the Client may be responsible for the added time or expense.
27. Changes to Booking Policy
Gleam Booth may update this Booking Policy from time to time. The version in effect at the time of booking will generally apply to that booking unless both parties agree otherwise in writing.
